Operations Manager (Maternity Cover)

Job Details

Working closely alongside the MD and all other teams, you will ensure that the agency runs smoothly and efficiently. You’ll continue managing existing processes that have been put in place as well as optimise day to day operations to maintain the growth of the business. You will have exposure to and directly contribute to the overarching business strategy, as well as operational planning, implementation, and service delivery.

Responsibilities up until January 2022

  • Support the Head of Operations in the lead up to her maternity leave in January 2022
  • Oversee the company’s day-to-day finances, which includes managing both the purchase and  sales ledgers (e.g. issuing POs, raising invoices, chasing debt, logging bills, etc.)
  • Support with Crush’s procurement processes, ensuring project spend is accurate and in line  with campaign budgets
  • Carry out day-to-day HR administration such as preparing offer letters and contracts, approving annual leave requests and expense claims
  • Support the wider team with project planning on Asana, ensuring goals and tasks are logged  accurately and according to the Master Schedule
  • Where appropriate, be responsible for running operational improvement projects in line with the wider operational strategy
  • Track & report on your own individual progress and timeframes using Asana
  • Provide administrative and operational support to the MD where required

Responsibilities from January to December 2022

  • Take over Crush’s day-to-day management of operations from the Head of Ops once her maternity leave commences in mid to late January
  • As well as the above duties, you shall:
  • Oversee the agency’s workflow and resource requirements (both in house and agile) by managing Crush’s Master Schedule
  • Oversee the Crush internal meeting schedule ensuring that a tight meeting rhythm is maintained and that each meeting if optimised and impactful.
  • Hold regular resource meetings to scope project requirements and timings. Ensure resource is optimised and pinch points are highlighted and acted upon in advance
  • Successfully onboard clients, projects and suppliers, ensuring the correct legal paperwork is in place and filed appropriately, drafting in third party legal advice when necessary
  • Take a leading role in the agency’s project management processes using the existing systems in Asana and building on them where necessary
  • Oversee and optimise the company’s tech stack including tools such as HubSpot (CRM), Xero (accountancy software) and DropBox (data storage). Where necessary implement enhancements and additional integrations which increase efficiency and insight
  • Oversee the company’s information and data security – ensure Crush’s online password management system is kept up to date and be a point of contact for incidents such as data breaches or security notifications
  • Assist the Accounts team with pitch processes, ensuring internal systems and materials are properly used ensuring that insight is derived from each process including prospect feedback
  • Support and manage agile resource, ensuring freelancers and FTC employees are onboarded and managed on an ongoing basis
  • Oversee and drive the agency’s performance management system to ensure the 3R framework is being adhered to. Act as a conduit between the MD and the team leaders to ensure all team members’ objectives link to the wider business goals
  • Be an advocate for company culture – be constantly aware of team morale, manage the agency’s social calendar and make suggestions for improvements where necessary
  • Be responsible for the Crush’s Health & Safety policies and the implementation of them
  • Support the MD with the agency’s recruitment roadmap and manage the hiring and onboarding of all new employees
  • Be a go-to contact for all teams with regards to Busines Affairs (legal and admin), Business
  • Support (finance – sales and purchasing), HR (people and culture), and other issues regarding company operational systems and processes
  • As a priority, ensure that we consistently have the right people (personnel), doing the right things (process), in the right way (performance).

Person specification

  • At least 2 years’ ops management experience gained within a similar creative agency setting
  • The ability to draw on strong instinct, judgement, and experience
  • Knowledge and experience of working with Google suite and MS Office
  • Familiarity with Asana and/or HubSpot is a distinct advantage
  • The ability to keep lots of plates spinning whilst maintaining an overarching view of the company’s operations
  • Have a keen eye for detail and a genuine desire to uphold the highest of standards
  • Be at ease dealing directly with people at all levels; both externally and internally
  • Have an unflappable, highly organised and autonomous approach, particularly in the face of demanding workloads and shifting priorities
  • Have a passion for music, entertainment, sport and lifestyle trends – all the things we care about
  • Culturally connected and emotionally intelligent with the passion and energy to be the ‘glue’ for a busy, predominantly remote-working team.
