Operations Manager (Maternity Cover)

We are looking for a full-time Operations Manager on a one-year+ fixed-term contract (maternity cover), with Finance and HR experience, ideally from a talent or influencer-focused marketing/comms agency.  

Working closely alongside the MD and at the heart of the Operations Team, you will ensure that the agency runs smoothly and efficiently with a focus on team impact and performance. You’ll continue managing existing processes as well as optimise day-to-day operations to maintain the growth of the business. You will have exposure to and directly contribute to the overarching business strategy and operational planning, implementation, and service delivery.

Responsibilities

Up until August 2023

  • Support the Head of Operations in the lead-up to her maternity leave in August 2023
  • Oversee the company’s day-to-day finances, which includes managing both the purchase and sales ledgers (e.g. issuing POs, raising invoices, chasing debt, logging bills, etc.) 
  • Support with Crush’s procurement processes, ensuring project spend is accurate and in line with campaign budgets 
  • Carry out day-to-day HR administration such as attending staff appraisals, preparing offer letters and contracts, approving annual leave requests and expense claims
  • Drive and support the wider team’s use of Asana, including supporting the Operations team in the roll out of new learning resources and SOPs
  • Track & report on your own individual progress and timeframes using Asana
  • Provide administrative and operational support to the MD where required
  • Lead the daily ‘all hands’ huddles and maintain the agency’s master schedule in Asana

Responsibilities 

From August 2023 to August 2024

  • Take over Crush’s day-to-day management of Operations Business Support from the Head of Ops once her maternity leave commences in August 2023 
  • As well as the above duties, you shall:
  • Oversee team performance and implement ways to keep each team member focussed and motivated in their role, ensuring their individual objectives are being met with consistency and momentum 
  • Oversee the Crush internal meeting schedule, ensuring that a tight meeting rhythm is maintained and that each meeting is optimised and impactful
  • Successfully onboard clients, projects and suppliers ensuring any admin associated with it is carried out accurately and in a timely manner  
  • Take a supporting role in the agency’s project management processes and SOPs using the existing systems in Asana and suggesting improvements to them where necessary 
  • Oversee and optimise the company’s tech stack, including tools such as HubSpot (CRM), Xero (accountancy software) and DropBox (data storage). Where necessary implement enhancements and additional integrations which increase efficiency and insight
  • Oversee the company’s information and data security – ensure Crush’s online password management system is kept up to date and be a point of contact for incidents such as data breaches or security notifications 
  • Oversee and drive the agency’s performance management system to ensure the 3R framework is being adhered to. Act as a conduit between the MD and the team leaders to ensure all team members’ objectives link to the wider business goals 
  • Oversee the performance of the Ops team to ensure maximum impact and relevance in workstreams
  • Liaise with senior external stakeholders on the business’ behalf or as a proxy for the MD
  • Be an advocate for company culture – be constantly aware of team morale, manage the agency’s social calendar and make suggestions for improvements where necessary 
  • Be responsible for the Crush’s Health & Safety policies and the implementation of them 
  • Support the MD with the agency’s recruitment roadmap and manage the hiring and onboarding of all new employees
  • Be a go-to contact for all teams with regards to Business Support (finance – sales and purchasing), HR (people and culture), and other issues regarding company operational systems and processes 
  • As a priority, ensure the right people (personnel) are doing the right things (process), in the right way (performance)

Person specification

  • At least 2 years’ HR and Finance experience gained within a similar creative agency setting 
  • The ability to draw on strong instinct, judgement and experience 
  • Knowledge and experience of working with Google suite and MS Office 
  • Familiarity with Asana, Xero and/or HubSpot is a distinct advantage 
  • The ability to keep lots of plates spinning whilst maintaining an overarching view of the company’s operations 
  • Have a keen eye for detail and a genuine desire to uphold the highest of standards 
  • Be at ease dealing directly with people at all levels; both externally and internally 
  • Have an unflappable, highly organised and autonomous approach, particularly in the face of demanding workloads and shifting priorities 
  • Have a passion for music, entertainment, sport and lifestyle trends – all the things we care about
  • Be culturally connected and emotionally intelligent, with the passion and energy to be the ‘glue’ for a busy, hybrid-working team
